GoogleDriveis a software toolcreatedby Google Inc that offerspersonalcloudstorageservicesthat allowusers to storeandsynchronize digital contents across digital devicessuchas laptops, mobiledevices,tabletsamong others. SupportforApple devicesisprovidedvia GDrive,which is theGoogle Drive Client foriPad andiPhoneservices.Otherthan thestorageservices,thedriveoffersadvancedsearching capabilitiesthat allowsusers to findspecificinformationfrom filesand sharetheinformational content.Additionally, it helps the user tocollaboratewith others through thebuilt-in accessGoogle Docs suite,which helpsin theediting of thestoreddigital information.Since its launching, thedrivehas evolvedto assimilateall therolesof Google Docs, henceis nowthehubof allGoogle services(Procopio,2013). Thisarticleoutlinesthevariousstepsfollowedin usingGoogle drive,statingthevariousimportanceof thedrivein management.

Thefirststepin usingtheGoogledriveis creatingtheGoogleaccount.Thedriveallowsusers with email servicespowered by Googlesuchas gmail to log into thedriveusingtheemail account.Assuch,users that donot havegmailaccountsshould signup fortheGmailemailing servicesthattheyare to usein logging in.

Afterloggingin,theuser should addfilesthrough the‘CREATE’ buttono theupperrightcornerof thedriveorupload thefilesdirectlyfrom thecomputer.After uploading, theuser can changethewaytheuploaded filesare displayedin thedrivepromotingeasyaccess.Theuser can draganddropfilesforthe organization,markorstar them, easingtheir access.Further,theuser can sharethefilesstoredonthedrivevia email services,as wellas receive filesfrom otherusers.

Aftersuccessfullylogging into thedrive,theuser can createtypeof documentssuchas folders,spreadsheets, presentationfilesamong others, by clickingon the‘CREATE’ buttonon thetop-left cornerof thedrive.Thenewlycreateddocumenttypeis empty,andtheuser can enterinformationandsaveas wellas synchronize thefilewith otherinternet profiles.

ThefirsttimeI beganusingGoogle Drive, I encounteredvariouschallengesthat slackenedfunctionality of thedrive.I realizedthatimagesthatweregreaterthan 3500 x 2500 pixels could not beuploadedon thedrive.I hadto resize someimagessothattheywould beuploaded.In addition,someequationsymbolswererenderedincorrectespeciallywhendocumentswereprintedvia chrome. To resolvethis,I hadto printdocumentsfrom otherbrowsers suchas Yahoo.Initially,I hadissuesof editingdocumentsin thedrive,with thesystembreakingdown everytimethat I editedsomeparts.I realizedthattheproblemarosefrom theversionof Google Chromethat I used(version38) hencehadto installtheearlierversionof Google Chrome, Version 36, which wasmorestable.

Corporateinvolvesthe useof filesandideasthat captureimportantideas,aswellas theproductiveteamcollaborations. Thesefilesare not usefulunless theycan be accessedandsharedeffectivelyamong allworkers,a functioneffectivelyaccomplishedby Google Drive.Google drivestoresandsynchronizes organizational files,makingthem availableto requisitepersons,promotinginterconnectivity. Forinstance,thenewfine-grain controlallowstheadministratorsto controltheoperationsof thedrive,allowingemployeesto installdesktop synchronization, easingconnectivity. Thiswilleasetherateat which informationis sharedwithin theorganization,enhancingproductivity(Procopio, 2013).

Otherthan promotinginterconnectivity within an organization,theGoogle driveforWork is an essentialtoolforauditing. TheDrive allowstheadministratorto seeemployees’activitiessuchas deleting,movingorsharingvitalorganizational informationwith unauthorizedpersons,within andoutside theorganization.Thecloudtechnology ensuresthatGoogle drivehas adequatespacethat can be usedto storeallvitalorganizational information.Thedriveoffersunlimitedstorageforcorporate allowingthem to storeup to five Terabytes in size.Theprovisionof data encryption in thedriveenhancesthe securityof organizational information.TheGoogle Drive Quickofficeprovidespowerfulstoragekitto storedocumentssuchas spreadsheets among others (Procopio, 2013).

Asaforestated,Google Drive providesan adequatestoragespacefordocumentsandfiles,allowingtheuser to synchronize thecontent information.Further,thedriveallowsusers to createfoldersandspreadsheets among otherimportantpackagesthat are relevantin personalandorganizational settings.In additionthedriveoffersadeptsecurityfeaturesthat haveincreasedits adoptionin themoderncorporate world.TherecentlyintroducedGoogle Chromeforworkoffersbusinessadministratormorecontrollingrightswhereworkerscan installdesktop synchronization, from wheretheycan shareinformation,enhancingorganizational connectivity. TheDrive allowstheadministratorto tracemovements,removalorsharingof importantorganizationaldata. Assuch,Google drivecan be usedas an auditing to preventunauthorizedaccessto organizationalinformation.
